ABOUT CPC'S EARLY CHILDHOOD EDUCATION PROGRAM:

CPC's Early Childhood Education programs provide high-quality, comprehensive school readiness services to families with children from birth to 5 years old. Our early childhood education services strive to meet preschoolers' needs for intellectual, physical, social and emotional growth. This work prepares York County's young children to enter kindergarten prepared to learn.


SUMMARY:

The Administrative Assistant will report to the Chief Program Officer and the Director of Strategic Initiatives while providing the highest level of clerical support and administrative coordination to the Early Childhood Education (ECE) Management Team. The Administrative Assistant will need to use independent judgement as appropriate to address management and staff concerns. A successful candidate will be detail oriented, able to multi-task, work in a fast- paced environment and excel at customer service to both internal and external clients. Bi-lingual-Spanish speaking is preferred.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains confidentiality of information pertaining to the program/agency, its clients, other employees, according to legal requirements and professional ethics.
  • Researches, prepares/composes documents, spreadsheets and reports as needed.
  • Gathers Data, manages electronic filing system and document collection and sharing.
  • Manages program/office schedule. Publishes program calendar. Schedules appointments and meetings for managers, collaborates with other administrative support staff to maintain schedules for the agency.
  • Drafts and maintains administrative policies and procedures for review and approval. Ensures timely communication of policy/procedural updates throughout the organization.
  • Assists in organizing and preparing for conferences, special program/agency events, may be required to attend functions outside the regular work schedule.
  • Arranges travel plans and itineraries, compiles documents for travel-related meetings.
  • Manages all administrative tasks for ECE programs including answering phones, re-routing/answering incoming mail/email, supply inventory, maintaining office equipment, pre-purchase requisitions, hiring requisition forms and personnel sheets.
  • Greets visitors and connects them to appropriate area or staff person. Problem-solves for the concerns of clients, visitors, and other employees, using independent judgement as appropriate.
  • Provides clerical support to committees/groups. Schedules meetings, prepares agendas, reserves, and prepares meeting facilities, records, and distributes meeting minutes, and other documents to committee/group members, maintains official documents/files of committees.
  • Collects, organizes, and documents employee information as required. This includes information pertinent to employee time sheets, continuing education activities of staff, scheduling of staff, attendance of staff at program in-services and meetings, etc.

EDUCATION and EXPERIENCE:

Bachelor's degree (B. A.) from an accredited four-year college or university plus one year of related work experience; Associates degree in Office Management and three (3) years of administrative experience; or a high school diploma and equivalent combination of education and experience.


CERTIFICATES, LICENSES, REGISTRATIONS:

Department of Human Services FBI Clearance, National Sex Offender Registry, and PA Child Abuse Certification required prior to hire; PA State Criminal History due within 30 days of hire date; a physical assessment including a tuberculosis skin test and "Mandated Reporter" training due within 90-days of hire. Some position may require a valid DL with acceptable driving history.
